Saarthi Elite Privacy Policy

This policy explains what Saarthi Elite processes, why it is needed, how long it is kept, and the choices available to users.

Who operates Saarthi Elite

Saarthi Elite is published and technically operated by Saarthi Elite. The platform is licensed to participating retailers. For this deployment, the participating retailer and loyalty-programme operator is Saarthi Elite. That retailer manages participating accounts, BUSY-supplied item and invoice information, points and rewards, and day-to-day programme decisions; the platform provider supplies and supports the software service.

Information we process

  • Identity and access information: name, mobile number, user role, Contractor profile, MPIN verifier, and session records.
  • Work and site information: Contractor code, sites, client/site address details, and approved Team Member identity.
  • Reward activity: product QR scans and outcomes, six-digit product Claim Code use, points ledger, returns, reward choices, Reward Claim IDs, collection tokens, and fulfillment history.
  • Media: optional Contractor, OWNER, ADMIN, and STAFF profile photos, plus the live Team Member selfie required for a pending access request.
  • Device and service information: push-notification token, device platform, installation/session identifiers, IP and service/security logs where generated by the hosting infrastructure.
  • Privacy-request information: request type, app used, name, registered mobile number, optional request details, opaque receipt, processing status, and a non-sensitive resolution note.

Saarthi Elite does not ask for payment-card, bank-account, contact-list, precise-location, advertising, or health information.

Why the information is used

  • Authenticate Contractors and approve time-limited Team Member access.
  • Associate product QR scans with the selected site and maintain an accurate points ledger.
  • Prevent duplicate or unauthorized product claims and process returned products.
  • Manage reward availability, choices, cancellation, and secure physical fulfillment.
  • Send operational notifications, provide support, investigate errors, prevent fraud, and maintain auditability.

Camera, photos, and temporary selfies

Camera access is used only when scanning a product QR or taking the compulsory live Team Member selfie. The live selfie is encrypted while the approval request is pending and is deleted after approval, rejection, cancellation, or the five-minute timeout. It is not used for facial recognition or retained as a Team Member profile photo.

Photo-library access is used only when an authorized user chooses a Contractor or operator profile image. That image remains attached to the relevant account until it is replaced, removed, or the account is handled under an approved data request.

Storage, processors, and sharing

Saarthi Elite uses Railway for application hosting and private media storage, Neon for the operational database, and Expo notification services for opted-in operational push notifications. BUSY supplies invoice and ItemCode records to the retailer's Saarthi Elite environment. These providers process data only to deliver the service; Saarthi Elite does not sell personal information or use it for third-party advertising.

Information may also be disclosed when required by law, to protect users or the service, or during a properly governed business transfer. Role-based controls restrict operational access to authorized users; the account and data request queue is restricted to OWNER and ADMIN.

Retention and deletion

Pending Team Member selfies are deleted within the five-minute approval workflow as described above. Active profile, operator, and site information is kept while the relevant account remains active. QR, return, points, reward, fulfillment, and audit records may be retained longer where needed for accounting, dispute handling, fraud prevention, security, or legal obligations. Removing an account may therefore involve deactivation and deletion or de-identification of data that is not required to be retained.

Account and data request records are kept while verification and processing are open and may retain a limited receipt, status, and audit record after closure where needed to demonstrate that the request was handled.

Your choices and requests

You can decline optional profile-photo access, disable notifications in device settings, remove a saved profile photo, and directly submit an access, correction, account deactivation, or deletion request using the public form. Identity verification is required before an account-specific request is completed, but the form never asks for an MPIN, PIN, OTP, QR token, or identity-document number.

Submit an account or data request.

Security and policy updates

Saarthi Elite uses HTTPS in transit, hashed or keyed verification values for sensitive credentials, encrypted temporary selfie storage, role-based access, and audit records for sensitive operations. No system can guarantee absolute security. Material policy changes will be published on this page with a revised effective date.
